Before you book your cabin, it is important to review the following very important information. You will be unable to purchase your cabin until you have read and accepted these conditions. 

Regional Conference Registration is required prior to booking your cabin.  Those in violation of this policy will forfeit their cruise registration and/or deposit/payment.

  • TOTAL CABIN PRICE INCLUSIONS

  • SPECIAL REQUESTS
    Any special requests or specific cabin assignments (adjoining cabins, cabin locations etc.) are subject to additional fees and are not guaranteed. Accessible (ADA) cabins may be requested and are subject to availability and pricing at the time of request. See Accessible (ADA) Accomodatations for additonal information.
  • ACCESSIBLE (ADA) ACCOMODATIONS
    Should you require Accessible accommodations, please Contact Us for availability and pricing. Accessible staterooms are limited and based on availability. Royal Caribbean Cruise Line provides complimentary wheelchairs which are reserved exclusively for embarkation and disembarkation. If you will require regular use of a wheelchair during the cruise, you are welcome to bring your own or rent one from a company that provides wheelchairs and scooter rentals for cruises. The limited supply of wheelchairs onboard are available on a first come first serve basis.   • PAYMENTS
    Payment is required prior to confirming your cabin. Cabins are capacity controlled and cabin inventory is limited. You have the option to pay a 50% deposit or take advantage of a payment plan (if cabin is confirmed prior to April 30, 2024) requiring a $250.00 per person initial deposit with multiple payments according to the payment plan schedule (See Below). TOTAL CABIN PRICING (While Group Inventory Lasts. Inventory is Limited) 50% DEPOSIT (While Cabin Inventory Lasts. Inventory is Limited) Reservations Booked After November 1, 2024: 50% of the total cabin cost is due upon booking to confirm your cabin. Final Payment is due on or before January 5, 2025 The final Invoice for the remaining balance due will be emailed to the PRIMARY GUEST In December 2024. Reservations Booked before November 1, 2024: 50% of the total cabin cost is due upon booking to confirm your cabin. The final Invoice for the remaining balance due will be emailed to the PRIMARY GUEST In October 2024. Final payment is due on or before November 1st, 2024. If you wish to Pay in Full, choose 50% deposit to confirm your cabin and Contact Us for Final Payment Invoice. Should payment not be received within 24 hours of the due date, the Cruise Line will cancel your reserved stateroom and you will be subject to the cruise cancellation terms. See Cancellation Terms. PAYMENT PLAN Book by April 30, 2024, while group inventory lasts. Inventory is Limited $250.00 Per Person Initial Deposit is due to confirm cabin. Additional payments are due monthly as per the below schedule beginning June 1, 2024 until the cabin is paid in full by November 1st, 2024. Monthly payment amount is the TOTAL due for the cabin (NOT PER PERSON). Invoice for reoccurring payment will be sent in May 2024 to be paid on the 1st of each month through November 1, 2024. Invoice will be sent to the Primary Guest. Primary Guest will be responsible for paying the invoice and collecting from other guests in the cabin. Should any payment not be received within 24 hours of the due date, the Cruise Line will cancel your reserved stateroom and you will be subject to the cruise cancellation terms.   • CANCELLATION POLICY
    CANCELLATION SCHEDULE: Notice of all cancellations must be made in writing via email. This is the only acceptable method of cancellation. All notices must be sent to SGRSEregion@cccruisefl.com. From Confirmed Cabin until close of business day EST June 26, 2024: A cancellation fee of $75.00 per person plus processing fees will be assessed for any cancellations including 3rd and 4th Guests ($150.00 for Single Occupancy Cabin). Processing fees incurred are non-refundable. From June 27, 2024 until close of business day EST September 26, 2024: A cancellation fee of $175.00 per person plus processing fees will be assessed for any cancellations including 3rd and 4th Guests ($350.00 for Single Occupancy Cabin). Processing fees incurred are non-refundable. From September 27, 2024 until close of business day EST November 26, 2024: A cancellation fee of $275.00 per person plus processing fees will be assessed for any cancellations including 3rd and 4th Guests ($550.00 for Single Occupancy Cabin). Processing fees incurred are non-refundable. From November 27, 2024 until close of business day EST January 25, 2025: A 50% cancellation fee of the total per person cost plus processing fees will be assessed for any cancellation including 3rd and 4th Guests. From January 26, 2025 until close of business day EST February 24, 2025: A 75% cancellation fee of the total per person cost plus processing fees will be assessed for any cancellation including 3rd and 4th Guests. From February 25, 2025 until Voyage date: 100% cancellation fee. There will be no refund or credit of any kind. To help protect yourself and your cruise investment from the unexpected, it is highly recommended that all guests purchase travel protection. Trip Cancellation , Trip Interruption, Emergency Medical Expenses, and Emergency Evacuation/Repatriation, Trip Delay and Baggage Delay are just a few re can all be protected with Travel Insurance. Some travel insurance policies require purchase within two weeks of your Initial Deposit, while others are required to be purchased prior to making your final payment.   • CREDIT CARD AGREEMENT
    At any time, if the region has a transaction decline, chargeback, or other rejection of a charge of any payment due in conjunction with this event, this will be considered as a breach of the payee’s payment obligations to the region hereunder, and the payee’s access to and use of regional resources may be disabled or terminated and such use of access will not resume until the payee satisfies all payment obligations, in full, including any fees and expenses incurred by the region and/or any third party service for each chargeback received (including handling and processing charges incurred by the payment processor), without derogating from any other remedy that may apply to the region under these terms or applicable law. If a payee is found to have initiated a chargeback on purpose, that payee will be made subject to disciplinary action, up to and including suspension.
  • CHANGES TO CABIN TYPE
    Once a cabin is confirmed, any request to upgrade or downgrade your cabin will be based on availability of inventory and subject to a $75 change fee, plus any difference in cabin price and applicable processing fees / rebooking fees.
  • GUEST CHANGES TO CONFIRMED CABIN
    ADD A GUEST: Cabins are capacity controlled. Once you confirm a cabin, any requests to add a guest to a cabin will be based on availability of inventory and subject to a $75 change fee, plus any difference in cabin price and applicable processing fees / rebooking fees. CANCEL A GUEST: Once a cabin is confirmed, request to remove or cancel a guest from a cabin will result in a cancellation penalty as per the cancellation policy. See Cancellation Policy for more information. NAME CHANGE: There will be no name changes or alterations to any reservation within 72 hours prior to the departure date. Name changes made once cabin has been confirmed to 3 days prior to departure will be assessed a $75.00 fee per name change.

  • CABIN TRANSFER
    A cabin reservation may be transferred to a different guest prior to 30 days from the sailing date. A $75.00 per person Name Change fee will be assessed plus any processing fees and / or rebooking fees.
  • DOCUMENTATION FOR BOTH US CITIZENS AND NON-US CITIZENS
    US CITIZENS U.S. citizens on closed-loop cruises (cruises that begin and end at the same port in the U.S.) will be required to have either A passport (valid for 6 months after the sailing date) OR Government-issued birth certificate AND laminated government issued picture ID, denoting photo, name and date of birth. A U.S. citizen under the age of 16 will be able to present either an original or notarized or certified copy of his or her birth certificate, a Consular Report of Birth Abroad issues by DOS, or Certificate of Naturalization issued by U.S. Citizenship and Immigration Services. Note: Baptismal papers and hospital certificates of birth are not acceptable. Voter registration cards or Social Security cards are not considered proof of citizenship. Requirements for U.S. Citizens may change. We will do our best to assist, but cannot be held responsible for passengers who are denied boarding because they are unable to provide the required documentation at the port of embarkation. NON-US CITIZENS It is the responsibility of all Non – U.S. Citizens to check with their consulate to determine what documentation is required for them to cruise on the itinerary in question. Because these requirements vary by Country and can change at any time, neither Corporate Cruise Consultants, nor the cruise line will assume any responsibility for advising passengers what is required for foreign nationals.
  • PASSPORT & VISAS
    You must have a passport valid for six months past the expected end date of your cruise. It is also your responsibility to obtain valid entry visas for all countries where so required, prior to departure. Failure to obtain correct documentation may affect your participation in all or any portion of the Cruise. Cruise Line will not provide any refunds if you are not able to participate in the cruise or tour, or any part thereof. You will be responsible for any costs you incur as a result of your failure to obtain the required documentation including, without limitation, any costs associated with rejoining the cruise or returning home.   • PROOF OF CITIZENSHIP
    Participant(s) are required to abide by the US State Department and Department of Homeland Security regulations regarding proof of citizenship. All participants (from babies and up) are required to have a valid passport OR State Certified Birth Certificate and a supporting Government Issued Photo ID, like a driver’s license or an identity card. Please note that hospital Birth Certificates (baby feet Birth Certificates) are not accepted. Because of processing time, we encourage all passengers to apply for a passport at least three months prior to departure. A lack of the proper identification will lead to denied entry to the cruise ship, and no refunds will be made.
  • MEDICAL POLICIES & AGE RESTRICTIONS
    Guests with medical impairments that require the use of dialysis or oxygen should contact the cruise line to discuss policies and procedures for bringing the appropriate equipment onboard. For expecting mothers, cruise line may require a “Fit to Travel” certificate from the woman’s doctor in order to board the ship. Cruise line's specific policies regarding pregnancy and age restrictions are as follows: ​ A. Minors – Any Guest under the age of 18 shall be considered a minor and must travel with a parent or Legal Guardian or such other person as may be permitted by Carrier’s policies. No Guest under the age of 21 will consume any alcoholic beverages while on board the Vessel or Transport, except as may be permitted by Carrier’s policy. No Guest under the age of twenty-one (21) will be booked in a stateroom unless accompanied by an adult twenty one (21) years of age or older, except for minors sailing with their parents or guardians in adjacent staterooms, or for under-aged married couples (proof of marriage is required). Carrier reserves the right to request proof of age at any time and Passenger’s age on the date of sailing determines his or her status for the entire cruise vacation. B. Pregnancy and Infants – Any Passenger who will enter the 24th week of pregnancy by the beginning of, or at any time during their cruise, agrees not to book the cruise or board the Vessel or Transport under any circumstances. No infants under a specific age (at least six (6) months old) shall be booked on a cruise, nor brought onboard the Vessel or Transport by any Passenger under any circumstances. Corporate Cruise Consultants cannot be held responsible for passengers who may be denied boarding by the cruise line because they failed to comply with the specified cruise line’s requirements related to pregnancy and minimum age. If you have another type of medical condition that has not been mentioned, please inquire about policies and procedures that may affect your cruise.
  • RESPONSIBILITY & LIABILITY
    Corporate Cruise Consultants is responsible for arranging and providing services and accommodations offered in connection with the Group cruise. Corporate Cruise Consultants does not own or operate, control, manage, direct or in any way influence, nor is it an agent for any of the firms which will provide goods and services for any option which may be available in connection with the Cruise, including but not limited to outside transportation, shore excursions and other similar services. Accordingly, individuals who register for the Group cruise through Corporate Cruise Consultants agree to seek remedies directly with the Cruise Line and other operators and not to hold Corporate Cruise Consultants liable, in the absence of its negligence, for any loss, injury, delay or negligent act, criminal or otherwise, of any entity providing goods or services in conjunction with the Cruise or any available option including but not limited to the quality of services, cleanliness of the ship, cruise line overbooking or any other arranged transportation. Neither party shall be liable for circumstances beyond its reasonable control including but not limited to force majeure. You acknowledge that, except as set forth herein or in Cruise Line’s brochure, Corporate Cruise Consultants has not made any representation or promises with respect to the cruise described herein expressly set forth in the Operator’s literature, unless such agreement is in writing and signed by an officer of the Operator. At any time, Cruise Line may decline, for any reason, any person as a Participant on a cruise (or option) whereupon Cruise Line’s only obligation shall be to refund to such person that portion of payment allocable to the unused cruise services.
  • AGE REQUIREMENTS
    For voyages originating in North America: No Guest younger than the age twenty-one (21) will be assigned to a stateroom unless accompanied in the same stateroom by an adult twenty-one (21) years old or older. A guest's age is established upon the first date of sailing. This age limit will be waived for children sailing with their parents or guardians in connecting staterooms; for underage married couples; and for active duty members of the United States or Canadian military. Certain other restrictions and conditions will apply; such as compliance with the age twenty-one (21) alcohol policy, and proof of marriage for underage couples or proof of active duty military status required. Adults who are not the parent or legal guardian of a minor traveling with them must present an original, notarized letter signed by the child's parent(s) authorizing the adult to take the child on the specific cruise, supervise the child, and allow emergency medical treatment to be administered, if needed. This is necessary even when the adult traveling is part of the child’s extended family (i.e. aunts, uncles, grandparents, etc). To make it easy for you, we have a sample letter you can use. The letter can be downloaded here. INFANT POLICY Infants sailing on a cruise must be at least 6 months old as of the first day of the cruise and/or CruiseTour. HOWEVER: For transatlantic, transpacific, Hawaii, select South American and other selected cruises and/or CruiseTours, the infant must be at least 12 months old as of the first day of the cruise/CruiseTour. For the purposes of this policy, any cruise that has 3 or more days consecutive at sea will require infants to be 12 months old on the first day of the cruise/CruiseTour. Please be aware that guests travelling with a young infant that does not meet the infant policy will be denied boarding. No refunds or other compensation shall be due from the cruise line to anyone as a result of the denial of boarding to an underage infant or other accompanying guests.
  • GUEST REQUIREMENTS
    As a condition to sailing on the Cruise, each Guest will be required to: (i) agree to be bound by the Cruise Line’s Guest Ticket Contract; (ii) complete Cruise Line’s Online check-in Process, providing proof of citizenship and identification and emergency contact information as part of the process; (iii) agree to Cruise Line’s Health Acknowledgement related to COVID-19 (the “Health Acknowledgment”) if applicable, which includes an acknowledgement of risk and an agreement to comply with Cruise Line’s Guest Health, Safety and Conduct Policy, as well as its health and safety instructions; and (iv) undergo any required testing and health screenings, according to the protocols and procedures outlined on Cruise Line’s website. Failure or refusal by a Guest to do any of the foregoing will result in removal of the Guest’s booking from the Group and/or the denial of boarding, which may result in cancellation charges specified in the Cancelation Policy. You agree to indemnify, defend and hold harmless (and pay any and all reasonable attorney’s fees, in connection therewith) Corporate Cruise Consultants, the Cruise Line, any charterers, and any other owners or operators of the Vessel and their respective directors, officers, employees and agents (collectively, the “Cruise Line Indemnitees”) from and against any third party claims, suits, fines and/or liens arising out of breach or alleged breach of this Paragraph.
  • CRUISE DOCUMENTS
    Cruise documents will be available electronically. Once you are provided with a confirmation and your booking number, you will be sent detailed instructions on downloading the Cruise Line's app, as well as instructions on completing the online check-in process. Your cabin will be confirmed with full payment, however you will be required to go online and check-in. Authorization to print your cruise documents will be emailed to you approximately 30 days prior to sailing; you will then print your cruise documents (includes printable luggage tags). You are encouraged to complete your online check-in as soon as it becomes available. Please Note: online check-in will close 3 days prior to sailing. ​​ By Checking in, you can: Ensure your personal information is correct on all necessary travel documents. Inform the cruise line of any special occasions and dietary needs. Book shore excursions and onboard activities.
  • BOARDING
    You are required to be onboard the ship on embarkation day no later than 3:00 PM. We recommend arriving to the port no later than 2:00 PM to complete the check-in process prior to boarding the ship. . You acknowledge that it is your responsibility not to miss the final boarding time. Late arriving guests will be denied boarding and may have the ability to join the Ship at an approved port of call in the Cruise Itinerary subject to Cruise Line’s sole discretion. Any and all costs incurred as a result of a guest not boarding the Ship on time at the embarkation port shall be borne by the guest.
  • FORCE MAJEURE (Cancellation by Cruise Line)
    If Cruise Line cancels for any reason, including but not limited to, Acts of God, breakdown of the Vessel, hostilities, blockades, labor conflicts, strikes aboard or ashore, restraint of rulers or princes, war, fire, collision, directions of underwriters, arrest, order or restraint by governmental authorities or others (including due to the actions of port officials or government-imposed travel restrictions), acts of terrorism, civil commotions, embargo, weather conditions or considerations of safety of the Vessel (of which the Master shall be the sole judge), foundering of the Vessel or breakdowns of or damage to its hull, machinery and fittings, inability to secure or failure of supplies including fuel, requisition of the Vessel, disease, epidemic, or pandemic, or other circumstances beyond the Cruise Line’s control (including but not limited to a change in Cruise Line’s fleet deployment caused by any of the aforementioned events) (collectively such causes shall be referred to as “Force Majeure Events”), Agent shall refund Guest for payments made for the cruise only within 30 days of receiving reimbursement from Cruise Line. Refund will exclude any credit card processing fees incurred. For the avoidance of doubt, in the event of a Force Majeure Event, under no circumstances will Cruise Line or Agent be obligated to refund any cancellation charges incurred pursuant to the “Cancellation Policy” Section of this Agreement (or under a prior agreement between the Guest/s prior to Cruise Line’s cancellation of the Cruise).
  • JURY TRIAL WAIVER
    Guest agrees that Guest, nor any assignee successor, heir or legal representative of Guest shall seek a jury trial in any lawsuit, proceeding, counterclaim, or any other litigation procedure based upon or arising out of Guest’s dealings or relationship with Agent and Guest further agrees not to seek consolidation with any action in which a jury trial has not been waived. Guest understands and acknowledges that these provisions shall be subject to no exceptions and will be fully enforced in all instances.
  • ADDITIONAL TERMS AND CONDITIONS
    You acknowledge and agree to the published terms and conditions contained in the Guest Ticket Contract found on the Cruise Line’s website in effect at the time of the Cruise. You acknowledge and agree that the Guest Ticket Contract may be amended from time to time by Cruise Line in its sole discretion, and any updates, modifications and/or amendments thereto shall be binding. A copy of the Guest Ticket Contract in effect as of the date hereof is, available HERE and the terms and conditions for carriage of Guests set forth therein are expressly incorporated into and made part of the Terms and Conditions. At any time, Cruise Line may decline, for any reason, any person as a Guest on the Cruise (or option) whereupon Cruise Line’s only obligation shall be to refund to such person that portion of payment allocable to the unused services.
  • SHORE EXCURSIONS TERMS & CONDITIONS
    DAY PASSES: Inventory is limited and subject to availability. Passes are available for purchase until September 20, 2024 while supply lasts. Payment: Full payment is required at the time of booking Cancellation Policy: Day Passes are non-refundable once confirmed with payment. There will be no refund or credit of any kind if cancelled. Transfer/ Name Change: Day Passes may be transferred to a different guest for a $50.00 change fee. No Name Changes will be accepted after March 19, 2025. Guest will be responsible for collecting payment from the guest receiving the Day Pass. IMPORTANT NOTE: Day pass will NOT appear on the RCCL app or pre-cruise planner (online) prior to the cruise. Day Pass will ONLY appear on SeaPass card (room key) upon boarding Physical passes will NOT be provided. All Day Passes are linked to the Guest's onboard SeaPass card (room key) Once in CocoCay, Guest will proceed to Day Pass location and provide SeaPass card for entry. DAY BEDS & CABANAS Inventory is limited and subject to availability. Passes are available for purchase until September 20, 2024 while supply lasts. Payment: A 50% deposit is required at the time of booking in order to confirm the Cabana / Day Bed Final Payment will be due on or before January 15, 2025 A final payment invoice will be sent mid-December, 2024 Individual payments will not be accepted. Guest who requested the Cabana/Day Bed will be responsible for payment and will receive the final invoice. Should payment not be received within 24 hours of the due date, the Cruise Line will cancel the Cabana or Day Bed reservation and you will be subject to the Cabana/Day Bed cancellation terms (See Below) Names: At the time of booking, the reservation will be held under the guest making the reservation All other guest names and email addresses will be required at the time of Final Payment (January 15, 2025). Once names have been confirmed, there will be a $50 per person name change fee for Day Beds and Cabanas No name changes 1 week prior to sailing (from March 20, 2025 to sailing) Cancellation Policy: From the time of booking until January 15, 2025 A 50% cancellation fee for day beds A $400 cancellation fee for Cabanas From January 16, 2025 to sailing 100% penalty (no refund or credit of any kind) Name Change Fee: $50 per person for Day Beds and Cabanas No name changes will be accepted after March 19, 2025 (1 week prior to sailing) Tickets / Confirmation of Reservation: Confirmation of Cabana and Day Bed will be sent via email once 50% deposit has been made. Once full payment has been submitted and guest information received, all guests confirmed to the Cabana or Day Bed will receive an email confirmation (end of January 2025). IMPORTANT NOTE: Cabana and Day Bed Reservation will NOT appear on the RCCL App or pre-cruise planner (online). Cabana and Day Bed Reservation will NOT appear on SeaPass Card (room key) upon boarding the ship. Once in CocoCay, Guests will proceed to the Cabana or Day Bed location and check in with the attendant. All guests confirmed for the Cabana or Day Bed will appear on a manifest.
